How to Create a New User Profile Using an Existing User (Reception Module)

Steps to Create a New User Profile

1. Navigate to the Home Screen of the Reception Module.

2. Click on Admin at the top menu, then select Security → Users.


3. Locate the user profile you want to copy.
(User IDs are usually based on initials.)
Example: AB





4. Select the user and click Copy to create a new profile.



After Copying the User Profile

Once copied, a new user profile screen will appear.


5. Enter the User ID for the new user.
Use the initials of the user’s name.
Example: Emily Watson → EW
If the ID already exists, use:
EWA (First name initial + first two letters of the last name)




6. Fill in the required details:
First Name: Emily Watson
Temporary Password: PASSWORD
Other fields such as designation and permissions will be auto-filled.
Verify details if needed, then click Save.

Ensure the Status is always set to ACTIVE.




Confirmation

After saving, a confirmation notification will appear indicating that the user profile has been successfully created.



Verify the User Profile

7. To confirm whether the profile works:
Exit the Reception Module
Log in using:
User ID: EWA
Password: PASSWORD

You will be prompted to change the password.
Ensure the new password meets all requirements to successfully access the system.



Please change the Password and make sure it meets all the Requirements mentioned and you will be able to access the Reception Module without any issues. 


Alert
If the User Profile Cannot Be Found:
If you are unable to find the user in Step 3:

1. Go to Admin → Security → Users Report

2. In the pop-up window:
Select Summary
Click Preview

3. A list of users will be displayed.



If you find the required User ID, proceed with the steps above.
If not, respond to the client via ticket/email stating that the User ID could not be found and request confirmation.
If the client does not specify a similar user profile, we should request it from them, as it makes creating the new profile easier. 

Once the client provides the correct username, follow Steps 1–7 to create the profile.
